Early access

Tend your whole flock, in one place.

Your website, directory, member app, check-in, volunteers and service planning. One subscription for a church of 50 to 500.

Studio content list: live, scheduled and draft items for a church, with a status overview strip.

Free for your first 25 members. No card.

Every feature is switched on during early access, and nothing is deleted when you grow. We set each church up ourselves for now, so tell us about yours and we will be in touch.

Six tools. One roof.

One subscription replaces the website builder, the email tool, the member directory, the check-in sheet, the volunteer scheduler and the church app.

A hosted church website page: photo hero, a ministries band and a plan-your-visit call to action.
Screens: the lobby TV, sanctuary projector and youth room display, each with its own slide rotation.

The visitor-first website every church gets, and the slides that run on any smart TV or as a web cue in ProPresenter.

Everyone findable. Nothing overshared.

A private directory where each member chooses who sees each field. Contact goes through a relay, so nobody’s email or phone is exposed.

A member sees 1 of 3 fields. Ruth chose that; the database enforces it.

Your church’s app. No app store required.

Members install it from your own site. Group chat follows the roster: leave the group, lose the chat, the same moment. Adults only for now.

  • No phone numbers or email addresses exposed in chat.
  • A prayer feed and the church announcement channel, in the same app.
  • Reports go to your staff. Moderation cannot be switched off by any plan.
A group conversation in the member app: messages, a reply quote, reactions and the composer.
The member app home on a phone: next steps, groups and profile cards under the church name.

Group chat and the member home screen, as members see them on a phone.

Custody-aware pickup, when you turn it on.

Staff record who may and may not collect each child. The decision re-runs as the child is released, and a deny is never overridable.

  • A deny is never overridable. Not by a volunteer, not by staff, not by merging two records.
  • Not on the list and denied look identical at the door, so nobody learns another family’s arrangements.
  • A restriction survives erasure of the restricted person.
  • Parents see only their own child’s allow list.
  • Volunteer clearances are recorded with an expiry date, and the safeguarding dashboard shows who would be blocked before you turn enforcement on.
A child's custody record: who may collect them, who may not, and the pickup contacts on file.

Who may collect a child, and who may not. Restrictions are never shown to parents.

See what needs you this week.

One dashboard for visit requests, join requests, serving gaps, lapsed regulars and expiring clearances. Rota, service plans and automations sit behind it.

The This Week dashboard on a busy week: visit requests, clearances, serving gaps and people who have drifted.
  • A volunteer rota for two Sundays: covered slots, one awaiting a reply, and a blockout worked around.

    Rota

Roles, dated slots, invitations, accept or decline, blockout dates, serve reminders.

  • An order of service: songs with their keys, a reading, the sermon and the offering in running order.

    Service plans

A song library and a running order. The setlist falls out of it.

  • Automations: a birthday email that is live, a group join that adds people to a lunch, and one switched off.

    Automations

Five triggers, four actions, every one created switched off until you turn it on.

Safety and privacy

Controls in the schema, not the handbook.

Compliance-by-design controls, CI-enforced, audit-ready. Every control below ships on every plan.

See who viewed your records
Each member can see which staff opened their care notes, custody or clearance records, from a stated start date, with the caveats spelled out.
A second factor for staff
Owners and admins can enrol an authenticator app, and care notes require it once enrolled.
Care notes encrypted per person
Pastoral notes are encrypted field by field under a per-person key. Erasure destroys the key.
A write-once audit log
Hash-chained, append-only, verified nightly.
Export and erasure built in
Every stored field carries a retention period and an erasure rule, and the build fails if one is missing.
Your data stays yours
Each church is walled off by row-level security. Product telemetry never leaves the deployment and can be switched off. No ads. Export any time.
A member's access report: which staff viewed their records, when, and what the report covers.

A member’s own view of who looked at their records.

Bible trivia they ask to play again.

Live rooms on the big screen, solo practice, a daily quiz and collectible sheep. Kids never have accounts, and there are no ads.

Also included.

  • Planning Center and Breeze import

We pull your roster across, and staff review every row before it reaches the directory.

  • Service-plan import from Planning Center

Bring an existing order of service with you, on Team.

  • Herald AI polish

Deterministic first, so publishing works with zero AI credits, and the sermon body is always human-written.

  • Printed directory book

Thumb tabs, guide words, a name index. Included with Team.

  • Attendance and people reports

Exportable as CSV, redacted the same way the directory is.

  • An announcements widget

For the pages you already have, while you decide about the rest.

Notes from early access

Paraphrased from churches in early access. Named notes will appear as churches opt in.

  • Herald

Change the picnic time once and it changes on the website, the TV slides and the printed bulletin.

  • Member app

The group chat empties itself when someone leaves the group. Nobody has to remember to remove them.

  • Roster

The printed directory book comes back with thumb tabs, guide words and a name index.

  • Setup

Setup takes about one evening, and nobody on the team has to be technical.

  • You

This row is reserved for your church.

The short answers.

What is Carestead?

Carestead is one platform for the whole church: a visitor-first website, announcements published once to web, TV slides, bulletin and podcast, a private member directory, custody-aware check-in, volunteer scheduling and service plans, and a member app with group chat. Free for your first 25 members.

How much does Carestead cost?

Carestead is $0 for your first 25 directory members and 3 admin seats, with no credit card required. The Team plan is $39 per month at introductory pricing, with 10 admin seats and your own custom domain, and annual billing saves two months. Church plants get Team free for their first 2 years. Enterprise pricing is custom for multi-campus churches, networks and dioceses.

What happens when we grow past 25 people?

Nothing breaks and nothing is deleted. The free tier is sized for a church plant finding its feet; once you are past it, Team is the next step, and it is also where a custom domain, email and self-hosted sermon audio and video live. If your church launched within the last 2 years, Team is free anyway under the church-plant offer. During early access every church gets every feature free.

Is Carestead free for church plants?

Yes. A church plant launched within the last 2 years gets the Team plan free for its first 2 years, with the custom domain, email and self-hosted sermon audio and video included. No credit card: you tell us your launch date when we set you up. After 2 years, standard Team pricing applies. Networks and dioceses can also sponsor their plants through the Enterprise plan.

What does early access mean?

Carestead is live with real churches, every feature is switched on for every church, and nothing is billed yet. The prices on this page are what early-access churches will see when billing goes live. Ask for access and we will set your church up, then talk to us about Team or Enterprise.

Can you move our current website for us?

Yes, and we do the work. We harvest your current site’s pages, sermons, events, people and photos, rebuild them on the Carestead template, and verify the result against your existing site before anything cuts over. It is a one-time $149 service at introductory pricing, not a self-service import you have to figure out.

What does the church website template include?

Every plan includes a public church site on a free Carestead subdomain. The template ships with a plan-your-visit path and a real inbox behind it, Give and Watch buttons always in reach with a live indicator during services, your current sermon series up front, sermons organised as a shelf, event registration with capacity, waitlists and confirmation emails, a staff page and newsletter signup. Search-engine structured data and WCAG 2.2 AA accessibility are on by default, with ten typography pairings to choose from.

Can I use my own domain?

Every plan includes a free Carestead subdomain. Custom domains are available on the Team and Enterprise plans.

Does Carestead include a church member directory?

Yes. Roster is a private, member-first directory: members reach one another through a relay that never exposes an email or phone number, and every member controls who sees each field of their profile across six audience tiers, from public down to only me. The rules are enforced by the database itself, not just a setting. Staff get households, smart groups, encrypted care notes and a printed directory book.

Does Carestead have a church app?

Yes. The member app installs from your church’s own site, no app store required. Members get group chat that follows the roster, a prayer feed, the church announcement channel, sermons, events and their serving schedule, plus an in-app notification centre and an email digest. It is for adults; youth access is a later, separate step. Giving opens your existing giving page.

How does child pickup work at check-in?

When your church turns on check-in, pickup follows the custody records your staff keep: who may collect a child, and who may not. The decision is made in the database as the child is released, so a restriction added minutes earlier still applies. A deny is never overridable, not by a volunteer, not by staff, and not by merging two member records. Parents see only their own child’s allow list, and at the door not-on-the-list and denied look identical. Volunteer clearances are recorded with an expiry date. Check-in is part of the Team plan.

Can we schedule volunteers and plan services?

Yes. Volunteer roles, dated slots, invitations with accept or decline, member-set blockout dates and serve reminders are built in. Service planning adds a song library, dated service plans, a running order and the setlist. Automations cover five triggers and four actions, each created switched off until you turn it on, and the This week dashboard shows what needs attention across all of it.

Is Carestead safe for children?

Children never have logins. Kid profiles for the Bible games are a nickname, an avatar and an age band, and there are no ads. In the directory, the database schema itself forbids storing contact details on a child’s record. The member app is adults only.

Who owns our church’s data, and who can see it?

Your church does, on every plan. You can export your data whenever you like, and privacy-request export and erasure are built into the platform. Each church is isolated by row-level security, members can see who at the church viewed their records, product telemetry never leaves the deployment, there are no ads anywhere, and your data is never sold.
